About the role (What you’ll be doing)
- Serve as the first point of contact for resolving legal administrative requests and queries across Australia and the UK
- Optimize the Legal Team’s time and priorities by supporting with ad hoc requests and initiatives, including document formatting and creation across Notion, Microsoft Office and Google Drive
- Take ownership and manage inboxes, calendars, contract management tools, and weekly workflows (through Slack)
- Maintain accurate records within our contract management tools, correspondence trackers, invoice trackers and internal databases
- Research, develop and execute on plans to improve workflows and manage projects/tasks, including through the use of automation tools, for the Legal Team and other key stakeholders
- Drive internal and external communications, presentations, reports, and analysis including developing, editing and formatting framework documents for each
About you (Who you are)
- At least 2-3 years of experience in an administrative role, ideally with prior exposure to supporting lawyers, law firms, or legal departments
- Proficiency in preparing, formatting, and managing documents and correspondence, including contracts, letters and emails
- Experience with electronic filing systems and document management software
- Strong organisational skills, with experience managing schedules, setting appointments, and coordinating calendars for multiple lawyers
- Ability to handle tasks such as stakeholder communications, travel arrangements, expense reporting and general task management
- Excellent written and verbal communication skills to handle stakeholder inquiries, follow up with lawyers/stakeholders, draft simple correspondence, and convey information accurately between team members and stakeholders
- Strong attention to detail to ensure accurate documentation, follow-up, and adherence to legal protocols
- Understanding of confidentiality and data privacy, especially regarding client and case information
- A can-do, positive attitude that’s willing to take on whatever type of administrative work that’s required
- Willingness to take ownership for deadlines and follow up team members for inputs
Bonus:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, PDF) and similar day-to-day software including Notion, Google Drive, Outlook, Juro
- Familiarity with virtual collaboration tools (e.g., Google Meet, Zoom, Slack) and rituals to facilitate seamless communication across borders
- Familiarity with automation tools, such as Zapier or Microsoft Power Automate, to streamline repetitive tasks (e.g. moving data between applications or setting up email alerts)
